In-Person Event Terms and Conditions

1. Registration

Registration for events must be completed by the legal parent or guardian of the learner attending. Learners may not register themselves for events. Parents/guardians should share any important information regarding the learner (such as access/dietary/health information) which may be relevant to the event. If there are any changes after registration such as the number of people attending, it is the responsibility of the parent/guardian to inform Koa.

2. Childcare Responsibilities

Koa does not take responsibility for childcare at the event. This means that the wellbeing and supervision of the learner is the sole responsibility of the parent/guardian for the duration of the event. Koa will not be responsible for which learners attend events, their whereabouts during events, or collection after events. While parents/guardians may pass the responsibility of childcare to another willing adult who then assumes the full responsibilities of the parent/guardian, the responsibility of childcare may not be passed to a Koa employee. Parents/guardians agree to take responsibility for ensuring that the learner(s) in their care act responsibly during the event and follow any rules and policies at the event. Events regularly take place in public spaces, and Koa does not take responsibility for the actions of others, even in the case that these actions lead to harm.

3. Payments, Cancellations and Postponements

By completing registration, the parent/guardian agrees to be liable for any payments outlined on the registration form. Payments which are not processed at the venue will be added to the parent/guardian’s next Koa school fees invoice. If a registered person is later not able to attend the event, the parent/guardian should notify Koa as soon as possible. If changes are made to the event details, including postponement or cancellation, Koa will communicate these changes with the parent/guardian. While Koa will attempt to prevent, defer or refund charges, any amounts owed will be at the expense of the parent/guardian.

4. Communication

Information regarding the event will primarily be shared through the Koa Academy WhatsApp Community channels. For the most immediate updates regarding the event, the parent/guardian should have opted into the WhatsApp social event group for their particular region.

5. Third party providers

Events often involve the services of third party service providers. Koa may not be held liable for any poor service, negligence, damage, loss or harm caused by third party service providers at events.

6. Media

By attending the event, you acknowledge that photographs and filming may take place that you and your children appear in, and Koa may use this in social media and/or marketing materials. If you do not wish for certain images to be used by Koa, please let the event coordinators know and we will take reasonable steps to comply with your request.

7. Limitations of Liability

The parent/guardian agrees that Koa can not be held liable for accident, injury, or loss suffered while attending an event except when it has breached its legal obligations and such loss or damage is a direct or foreseeable result of Koa’s direct actions.
